Job Summary

 

Under direct supervision of the Clinic Manager, the Back Office Supervisor is responsible for the overall supervision of back office clinic operations and assumes full clinic responsibilities in absence of Clinic Manager. The Back Office Supervisor ensures adequate staffing levels for the back office by managing medical assistant schedules, monitors daily medical assistant functions, and promotes the effectiveness of the team. The Back Office Supervisor ensures that patients receive excellent customer service and operations are conducted in support of the company’s mission. Duties and Responsibilities include but are not limited to:

Supervisor:

·  Manage the day to day workflow of the back office staff

·  Ordering of all back office supplies

·  Maintain all client CCFs/COCs

·  Supervise patient flow

·  Assist the manager in training and mentoring of all new back office hires

·  Make sure staff lunches are taken on time

·  Maintain orderliness of the back office area

·  Ensure all clinic logs are in compliance

·  Communicate and exercise good judgment with all co-workers

·  Maintain and improve workflow as needed

·  Identify VIP patients 

·  Understand and comply with all HIPAA regulations

·  Maintain and update all x-ray logs

·  Participate in QI/QA, state audits

·  Communicate with manager any areas that need improvement w/ broken equipment

·  Identify and establish priorities and deadlines

·  Ensure all back office equipment is calibrated daily and in proper working order

·  Assess the floor before leaving for lunch or leaving for the day

·  Foster and exhibit teamwork at all times

·  Assist in off site events and clinic tours when required

·  Sick, vacation and on-call coverage when needed

·  Additional duties as assigned

 

Medical Assistant:

·  Perform selected nursing and administrative duties.

·  Prepare patients for examination and treatment.

·  Take patient histories and vital signs.

·  Prepare exam and treatment rooms with necessary instruments.

·  Administer injections and apply dressings as instructed.

·  Prepare and maintain supplies and equipment for treatments, including sterilization.

·  Assist physicians in preparing for minor surgeries and exams.

·  Work closely with the physician to receive guidance and instruction for treating patients.

·  Perform direct patient care as instructed by the physician.

·  Maintain equipment for use at all times, in a clean and safe condition.

·  Complete appropriate documentation on all patients examined.

·  Maintain appropriate communication and good interpersonal skills with Supervisors, staff and patients to ensure coordinated efforts and provision of high quality service.

·  Perform Drug Screens, Breath Alcohol Tests, Pulmonary Functions Tests, Mask Fit Tests, Blood work, and other ancillary tests as directed.

 

 

Requirements:

  • Bilingual: Spanish preferred

EDUCATION: High School Diploma or equivalent

EXPERIENCE: One year experience required. Workers Comp Experience a plus
