We support employers, employees, and providers with a full suite of pre-employment, injury, and regulatory services and we are growing.

We are seeking a Front Desk Receptionist who will serve as the first point of contact for patients and employer representatives, ensuring smooth clinic operations and a positive experience.

The ideal candidate is enthusiastic, organized, punctual, and thrives in a high-volume setting. This role requires exceptional communication skills, strong attention to detail, and the ability to juggle multiple tasks while maintaining professionalism and customer service standards.

Key Responsibilities

Patient & Employer Interaction

  • Greet and check in patients, employers, and visitors with professionalism and courtesy
  • Answer, screen, and route calls; respond to inquiries with clarity and service orientation

    • Provide accurate information regarding clinic services, scheduling, and processes

    Scheduling & Coordination

    • Schedule patient appointments to optimize clinic flow and provider availability
    • Notify clinical staff of patient arrivals, delays, or schedule adjustments
    • Coordinate with clinical and administrative teams to support care delivery

    Documentation & Records

    • Coordinate with clinical and administrative teams to support care delivery
    • Verify and update patient demographics, insurance, and intake documentation
    • Maintain confidentiality of medical records and employer information in compliance with HIPAA
    • Manage electronic and paper files with accuracy and organization

    Clinic Operations

    • Maintain a clean and welcoming reception environment
    • Monitor and restock front office supplies; assist with ordering and receipt
    • Assist with administrative tasks to support overall clinic operations
    Qualifications

    Required

    • High School Diploma or equivalent

    • Exceptional customer service and communication skills

    • Ability to multitask and prioritize in a fast-paced environment

    • Strong attention to detail, accuracy, and organization

    • Proficiency with computers and scheduling software

    • Reliable, punctual, and dependable attendance

    Preferred

    • 1+ year experience as a medical receptionist or similar role

    • Occupational medicine, urgent care, or workers’ compensation experience

    • Bilingual (Spanish preferred)
